Accepting Your Grant Agreement

If your organization has been approved to receive a grant, you accept the Grant Agreement online from your Dashboard — click the Grant Agreement button. Accepting is a deliberate, legally binding step: you review the exact terms, consent to sign electronically, and Ergatas records who agreed, to what, and when.

You only need to accept once per agreement version. If the grantor later publishes a new version of the agreement, you'll be asked to accept the new version before continuing.

Step 1 — Identify your organization and the signer

At the top of the form, confirm who is accepting:

  • Organization legal name — choose your organization from the list. Only organizations you are a profile manager of are listed; if yours is missing, ask Ergatas to add you as a manager.
  • Country and Organization address — your registered location.
  • Signer full name, Title / role, and Email — the person accepting on the organization's behalf.
  • Check "I am authorized to enter into this agreement on behalf of the organization." Only someone with authority to bind the organization should accept.

Step 2 — Review the agreement

Select the Agreement version. Its full text appears in a scrollable box so you can read every clause before you agree. Use Download PDF to save or print exactly what is shown.

The agreement spells out the obligations your organization is accepting. In summary, it requires that you:

  • Use the funds only for the charitable purpose described in the agreement — not for any non-charitable, political, or prohibited purpose.
  • Report on how the funds were used, including a financial accounting through the online Salary-Use Report.
  • Comply with sanctions and anti-terrorism, anti-bribery, and anti-money-laundering law (including U.S. OFAC programs).
  • Keep complete records and allow the grantor to inspect or audit them.
  • Return any unused funds, or any funds not used for the charitable purpose, on request.
  • Acknowledge the grantor's discretion and control over the grant and that the two organizations remain independent.

Read the agreement itself for the exact terms — this list is only an overview.

Below the text, check the electronic-records consent box: "I consent to receive and sign this agreement electronically and confirm I can access and retain a copy."

Step 3 — Agree and sign

Check the box that reads "I have read and agree to the Grant Agreement" (it names the version and date). Optionally, type your full legal name to sign.

The Agree & submit button stays disabled until you have selected an organization, entered the signer's name, checked the authorization and consent boxes, and checked the agreement box. When everything required is complete, click Agree & submit.

Step 4 — Confirmation

You'll see a success message with a reference ID for your acceptance. If you provided an email address, a copy of the agreed document is emailed to you. Keep the reference ID and the emailed copy for your records.

What Ergatas records

Your acceptance is stored as a permanent record tied to the exact version of the agreement you saw, with a secure fingerprint of that text, the signer's details, and a server timestamp. This proves precisely which terms you agreed to and when. The record cannot be edited after it is created; if you ever need to accept a corrected or newer agreement, that creates a new record and the old one is kept as superseded.

Next: reporting

Once your agreement is accepted, you fulfill its reporting obligation through the Salary-Use Report, available from the Salary Report button on your dashboard.
