Managing Your Organization and Worker Profiles
If you represent a church, mission agency, or mobilization ministry, Ergatas gives you two tools for bringing all of your Kingdom Workers together in one place and keeping their information accurate. Both appear in your Dashboard once your organization has been set up: Manage Organization and Managed Profiles. This page explains what each one does and what you can accomplish with them.
Getting Access
These two pages are only available to organization administrators. If you don't see them yet, open your Dashboard and click Landing Page to tell us about your organization and request administrator access. You can either ask for permission to create and edit profiles on behalf of your workers, or simply collect workers who manage their own profiles. Manage Organization
The Manage Organization page is where you control how your organization and its landing page appear, and how donations to your workers are handled. Click the edit (pencil) icon to make changes, then save.
Organization details and your landing page
Here you can set your organization's logo, contact email, and a short description. You also choose a URL sub-domain, which becomes the friendly web address for your landing page (for example, your-name.ergatas.org). The page provides this sharing link along with a downloadable QR code so you can point people to all of your workers at once — on a screen during a service, in a bulletin, or embedded in your own website.
Donation form settings
If your organization receives donations through Ergatas, you can tailor the donation form donors see:
- Choose whether the address and phone number fields are hidden, optional, or required.
- Decide who sends the donation receipt — Ergatas can send it for you, or you can handle receipts within your own organization.
- Set the billing day of the month for recurring (subscription) donations. The default is the 15th.

Ministry review documents
Some organizations like their workers to submit periodic reports or budgets. You can turn on Ministry Review Documents to ask workers for these on a quarterly or annual schedule, and set the deadline day of the month. Once enabled, the page shows a summary table of which workers have submitted their documents and which still have outstanding reminders, so you can see compliance at a glance.
Managed Profiles
The Managed Profiles page lists every worker profile connected to your organization's page in one place, even if those workers serve through different agencies. You can search the list and page through it as it grows.
What each profile card shows
Every profile appears as a card showing the worker's name, their organization, and a few helpful details:
- Status — such as Not Published, Expiring Soon, or Expired. Profiles that haven't been updated in a while expire and stop showing publicly until they're updated again, so this is an easy way to spot workers who need a nudge.
- Statistics — page views, donation clicks, and the number of people who have prayed for that worker.
- Ownership — whether you own the profile or it is worker-owned (managed by the worker themselves).
What you can do
- Create a new profile with the "+" button. This is handy when you're building profiles on behalf of your workers.
- View a preview of any profile.
- Edit a profile you have permission to change.
- Invite a worker by email to take ownership of their profile so they can keep it up to date themselves. If they already have an Ergatas account, they're connected automatically.
- Delete a profile you own, or unlink a worker-owned profile from your page without deleting the worker's own profile.
Adding workers who manage their own profiles
Your workers don't have to give up control of their profiles to appear on your page. If a worker already has an Ergatas profile, just visit their profile and click "Add to my Page." Their profile is linked to your landing page while they continue to own and update it. This makes it easy for a church or mobilization ministry to gather workers from many different agencies into a single, shareable page.
Putting It Together
With these two pages you can present all of your Kingdom Workers in one searchable, map-enabled landing page; create and manage profiles on workers' behalf or invite them to manage their own; customize the giving experience; and collect periodic ministry review documents — all for free.
